Hotel billback allows a business traveller to stay at a hotel without having to pay their hotel bill on departure. Instead, the hotel bills the traveller’s Travel Management Company (TMC) or corporation. Until now, hotel billback has followed a time-consuming manual process, leading to inevitable delays in reconciling client travel expenses. Recognising the need to address these challenges, Amadeus has partnered with Conferma to deliver a more reliable and efficient billback solution for business travel agencies and TMCs to offer their clients.
 
Amadeus Hotel Billback enables you to send a payment to a hotel, to ensure the end-traveller is not charged upon checkout, by providing a secure virtual card number as payment. Amadeus Hotel Billback works with your own virtual cards as well as cards provided by your corporate customers, and automates the process of generating a virtual card number, sending a payment confirmation to the hotel and then reconciling the payment when the guest checks-out.
 
This fully automated process simplifies the payment for your travellers’ accommodation, saving valuable time for business travel managers.

Main features
 
Amadeus Hotel Billback is a simple, automated process from purchase to payment that is PCI DSS (Payment Card Industry Data Security Standard) compliant:
 
  • When a hotel booking is made to be paid with a virtual card, Amadeus sends a request to Conferma to generate a unique virtual credit card number for the value of the hotel stay.  
  • The card number is automatically added to the Amadeus hotel sell request and is sent to the hotel CRS for processing.
  • Once the booking is confirmed, the virtual credit card number appears in the hotel segment as for any other reservation. 
  • A customised fax is automatically generated containing a complete overview of the guest stay, as well as the Conferma reference number and single-use virtual credit card. This is sent directly to the hotel property with instructions to charge the stay with the virtual credit card upon check-out.
  • When the traveller checks out, the hotel debits the virtual card on the fax and sends the invoice back to the booking agent.
